2024 Exhibitor Checklist: 5 Last-Minute Reminders for an Upcoming Event

The 2024 events season has officially kicked off, and the Generis team is excited to return on-site for our upcoming conferences!

As a refresher to our previous blog post, How to Best Prepare for a Conference: An Exhibitor's Guide, there are a few key reasons why attending conferences is valuable as an exhibitor. Those include:

  • Connecting with your target audience and clients directly in one centralized location
  • Showcasing your industry solutions and services at an approachable booth
  • Further optimizing your brand awareness through various marketing and networking opportunities surrounding the event

While preparing for an upcoming event, there are often a few last-minute items that still need to be checked off your list as an exhibitor.

To help overcome that "am I missing something?" hesitancy, here are a few last-minute reminders to help you (and your team) make the most of your pre-event preparations. 

 

1. Connect with your dedicated point(s) of contact for the event to ensure ALL deliverables are met.

In the weeks leading up to an event, your dedicated Event Coordinator, Account Manager, and/or Marketing Contact (if applicable) would typically reach out with any outstanding deadlines and action items needed. 

If you find that a few items have not been confirmed or followed up on, we highly recommend reaching out to those contacts as soon as possible.

Additional Tip: We also recommend checking your Spam or Junk folder in case any communications have fallen into those inboxes!



2. Confirm that your accommodations and transportation to the event are booked.

If you and your team plan to stay at the hotel on-site for the event, we highly recommend confirming that your hotel rooms and means of transportation are booked.

For any questions you may have on your reservations, your dedicated Event Coordinator is a great point of contact for more information.

Additional Tip: If you are a local attendee, we likewise recommend booking your transportation to the event ahead of time. Also, don't forget to keep the most updated version of the agenda on hand to track your day on-site! 


3. Download the event app (if available) and turn on notifications.

For a quick reference to items such as the event agenda, venue maps, announcements, and more, we suggest downloading the dedicated event app to familiarize yourself with the content leading up to the conference. 

In most cases, the event app will have the most updated versions of the agenda, maps, etc., in case any last-minute changes arise. Turning on notifications will help ensure you receive key information needed before and throughout the event! 


4. Have your event merch/swag packed and ready to go!

We all love some freebies at an event! As an exhibitor, having your event merch ready to go to be displayed on-site is a great way to generate buzz amongst the attendees during the event. 

And of course, showcasing your merch is an excellent conversation starter and a way to drive foot traffic to your booth!



5. Don't forget to promote your participation with your network.

Generate buzz on your participation at the event by sharing it with your audiences! Whether you’re promoting this on social media, through company newsletters, word-of-mouth, etc., announcing your attendance is a great way to increase your digital presence leading up to the event.

Additional Tip: If the event you're attending has a dedicated hashtag(s), leverage using them in a post to help get further audience reach!
